Asset Label Application Tips

When applying Asset Labels some quick tips will help you get the longest life out of your labels.

Asset labels are a permanent adhesive by nature. Permanent is a term which means that the adhesive is designed to make the label difficult to remove. Asset labels can be paper, synthetic or a special label compounds to detect tampering. Most asset labels are required to withstand getting wet either by water or cleaning compounds so most times they are not made of paper but a synthetic material.

Synthetic labels are tear resistant and this means that someone can use a lot more force to remove a label than they could with a paper label. Because of this it is important that some quick preparatory steps are carried out prior to sticking the label onto the surface.

Tips for applying labels

  • Clean the area where the label is to be applied. You need to apply labels to a clean surface to ensure they stick well. The surface can appear clean but may have dust, dirt or evn a greasy finish (from human hands).
  • Using a small amount of methylated spirits or similar and a lint free cloth, clean the area where the label is to be applied.
  • Make sure the area is clean and dry before applying the label. This will help the label to stick well to a clean surface, free of any grease or dust.

Once the surface is clean, apply the label

  • Once the protective backing is removed, hold the label by the edges in order to avoid touching the exposed adhesive.
  • Apply the label to your clean surface.

Do not try to test the label

  • Avoid ‘testing’ the label to confirm whether it has stuck well to the surface.
  • It takes between 24 and 48 hours for the adhesive on the label to cure.

Have a plan before you start!

Always apply labels in the same place on the same type of item. For example, on a monitor you may apply the label say on the side of the monitor on the right at the front. Imagine doing an audit and having the labels in different locations on the same type of item. Compare this with having them all in the same place. If staff are applying the labels make sure they know where you want the label put by giving them a list of the types of items and where to put the label. A simple thing, but so often neglected.

Make sure the label spot is accessible. Whether you are going to scan the barcode on the label or just read the numbers visually, it is important that the person doing the audit doesn't have to crawl under desks or move too many things. Consider this when you are deciding where to put the labels as it can save you hours of work later.

Make sure the label is orientated correctly. Barcode readers are like your eyes. The barcode reader must be able to see the whole of the barcode with one view to read it properly. If you want to place a barcode on a tubular item like a chair stem then put the label along the stem NOT around it. This will make the audit process a lot easier for the person doing it.

Make sure you instruct your staff. If the labels are being applied by others make sure they know how you want this done by putting together a plan for them to follow. consistency is the key and will save a lot of time.
